Privacy Policy
This policy explains the personal information Aulin processes when people browse, register, book coaching services, communicate, or make payments.
Effective September 18, 2026
1. Who this policy covers
Aulin provides software to independent coaching businesses. This policy covers personal information Aulin processes through its websites, applications, booking pages, and related services.
The coaching business you interact with also receives and uses information for its own coaching operations. It may have its own privacy practices. Contact that business about how it makes decisions concerning its clients, players, coaches, sessions, and facilities.
2. Information we collect
- Account and contact information: name, email address, mobile number, password credentials, verification status, business memberships, and account preferences.
- Household and player information: player name, birth date or age group, household relationships, goals, and notes provided for coaching, including medical or accommodation notes when you choose to provide them.
- Booking and service information: coaches, session types, availability, locations, attendance, booking history, cancellations, and session notes.
- Payment information: purchase amount, payment method type, transaction identifiers, payment status, account credits, and package usage. Stripe collects and processes card details for card transactions; Aulin receives the transaction and status information needed to complete and record the payment.
- Communications: verification messages, service emails and texts, support requests, notification delivery records, and messages sent through supported Aulin communication features.
- Technical information: IP address, browser and device information, requested pages, timestamps, session cookies, and security or diagnostic logs.
3. How we use information
- create, authenticate, and secure accounts;
- show availability, complete bookings, manage attendance, and provide role-specific workspaces;
- process and reconcile payments, packages, credits, refunds, and related records;
- send confirmations, verification messages, service notices, and other requested communications;
- support clients, coaches, and business administrators and resolve disputes;
- prevent fraud, abuse, unauthorized access, and other security incidents; and
- operate, troubleshoot, analyze, and improve Aulin and comply with legal obligations.
4. How we disclose information
We may disclose personal information to:
- the coaching business you select and its authorized administrators and coaches, according to their roles;
- service providers that support hosting, databases, authentication, payments, email, SMS, monitoring, and security, including providers such as Stripe, Firebase, Resend, and Twilio when those features are used;
- professional advisers, authorities, or other parties when reasonably necessary to comply with law, enforce agreements, protect people or the service, or investigate fraud or security incidents; and
- a successor or transaction participant in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate protections.
Aulin does not sell personal information for money or share it for cross-context behavioral advertising.
5. Cookies and similar technology
Aulin uses cookies and browser storage that are necessary to keep you signed in, preserve security, remember interface preferences, and operate the service. Your browser can remove or block these technologies, but account and booking features may then stop working correctly.
6. Children and player information
Aulin is designed so a parent, guardian, or authorized adult can manage a minor player’s profile and bookings. The service is not directed to children under 13 for independent account creation. Do not provide information about a minor unless you are authorized to do so.
If you believe a child submitted personal information without proper authorization, contact us so we can investigate and take appropriate action.
7. Retention and security
We retain information for as long as needed to provide the service, maintain business and transaction records, resolve disputes, enforce agreements, and meet legal, tax, accounting, and security obligations. Retention periods vary by the type of information and why it is held.
We use administrative, technical, and organizational safeguards designed to protect personal information. No storage or transmission method is completely secure, so we cannot guarantee absolute security.
8. Your choices and privacy rights
- Review and update available profile and contact information in your account settings.
- Follow the instructions in a message, including replying STOP to supported SMS messages, where applicable.
- Ask to access, correct, delete, or receive a copy of your personal information. Depending on your location, you may have additional rights and may be able to appeal a decision.
We may need to verify your identity and account relationship before completing a request. Certain information may be retained where an exception applies, including transaction, fraud-prevention, dispute, and legal-compliance records. If your request concerns records controlled by a coaching business, we may direct you to that business.
9. Changes and contact
We may update this policy to reflect changes to the service or law. We will post the revised policy here, update its effective date, and provide additional notice when appropriate.
For privacy questions or requests, email privacy@aulin.ai. For questions about a coaching business’s own practices, contact that business directly. Use of Aulin is also governed by our Terms of Service.
